COVID 19 Policy

I am very pleased to be welcoming you to the Holistic Hut.

My priority is to keep you as safe as possible by following COVID 19 government guidelines and implementing a suitable policy here at the Holistic Hut.

Rest assured that all health and safety precautions have been and will continue to be assessed and altered if and when required to ensure our practices are kept in line with the latest government guidelines.

If I develop any symptoms of COVID-19 I will immediately self isolate. This may lead to a cancelation of your appointment at no cost to you

1. Please do not come to your appointment if you are showing any signs or symptoms of the virus.
2. Your name and contact details will be securely held for 21 days purely for the track and trace purpose and will be destroyed on day 21
3. With your consent I will obtain a temperature reading before entering the premises.
4. Before your appointment you will be asked to complete a screening questionnaire. You will be required to update this every time you visit, please complete the form honestly.
5. Please do not arrive early, this prevents there being more than one client on the premises at one time.
6. After each client I will allocate a set time to sanitise the space and equipment, I will then come and greet you at the gate.
7. I have provided hand sanitizer; please ensure you hands are sanitised before entering the hut.
8. Please may you ensure you bring your own mask/face covering as you will not be able to enter with out one.
9. I will be wearing the mandatory PPE at all times and when I am treating your face or performing any treatment that requires me to be particularly close I will be wearing a visor also.
10. Throughout your treatment a window will be left open to allow good ventilation.
11. I am the only therapist at the Holistic Hut so there is no risk of contact between different therapists and treatments.
12. Clean and dirty laundry will be kept separately in an air tight box to reduce contamination.
13. All laundry and uniforms will be washed at a minimum of 60 degrees c
14. To reduce the handling of cash, if possible payment to be completed via bank transfer prior before leaving your appointment on the day of your treatment. I will however still accept cash but request it to be placed in to an envelope.

All of the above procedures have been implemented for your safety and mine.  I will continue to take advice from the Government and professional bodies regarding safe practice and will adapt and amend as necessary.

At the Holistic Hut we are fully compliant with GDPR regulations.

This privacy policy provides you with all the details of how the Holistic Hut collects and processes your personal data through your use of our site www.theholistichut.uk including any information you may provide.

Upon booking you may be asked some personal details and prior to your treatment you will need to complete a consultation form.  Your consultation form enables us to carry out a suitable and safe treatment, we would kindly ask that you update us of any changes; these changes will be amended on our system.  

You are able to choose the way in which you want to be communicated with and are able to change your mind about your methods of communication at any time, you also reserve the right to withdraw consent of any further correspondence regarding latest news and offers if previously consented.  

We will not share your details with any other person or business and we will not send you any form of spam.  

As a requirement by the insurance company your details will be held for 7 years following your last appointment. After this time all your information will be destroyed. Rest assured that the Holistic Hut will securely store your data using encryption and antivirus software and that at anytime you are invited to request a copy your personal details that we hold.

By providing us with your data, you warrant to us that you are over 16 years of age.

The Holistic Hut is the data controller and are responsible for your personal data (referred to as “we”, “us” or “our” in this privacy notice).

- Financial Data is not collected: all payments are collected either by cash or bank transfer

- Your personal data will be stored and be accessible only by myself at the Holistic Hut.

Client Consultation Forms

- Identity Data may include your first name, last name, marital status, title, date of birth and gender.

- Contact Data may include your home address, email address and telephone numbers.

- Health Data: The medical & emotional questions are required so that we can provide a personalised Holistic Treatment for you.

- Sensitive Data: We do not collect any Sensitive Data about you. Sensitive data refers to data that includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation. We do not collect any information about criminal convictions and offences.

- Financial Data is not collected: all payments are collected either by BACS or cash

- Transaction Data may include details about payments made by yourself for treatments.

- Your personal data will be stored and be accessible only by myself at the Holistic Hut

- Your information will not be shared to any third party companies.

 Data Retention

- By law we have to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they cease being customers for tax purposes.

- Medical Malpractice requests that we keep consultation files on record for seven years once you have received your last treatment here at the Holistic Hut After this date they will be shredded.

- We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or medical requirements

Record Keeping

- Your consultation forms are kept on file on a password protected computer and paper files are kept in a locked filing cabinet at my home address.

- Your files are not accessible by anyone other than myself

- You can ask to view your client files at any given time.

Why the Holistic Hut collects your personal data and what we do with it

When you supply your personal data to the Holistic Hut we store and process for the below reasons:

At all times you have the right to refuse the Holistic Hut to your information, however due to insurance legal requirements we may not be able to offer our services.

1. We need to collect some personal information about you and your health in order to make sure there are no contraindications to your treatment, and legal requirements.

2. The holistic Hut would like your consent to send you emails with our latest News and offers, however this will only be done with your full consent

3. On the occasion that details are recorded on paper will be looked away in the hut and only viewed by the Holistic Hut.

4. Records recorded online will be password protected and only accessible by the Holistic Hut

5. Your phone number and email may be used electronically, with your permission. This is for appointment reminders or occasional offers.

6. Any correspondence via social media will be bound under their own privacy guidelines, the Holistic Hut will password protect our end. You may wish to think of alternative methods of making contact to ensure privacy is upheld.

7. This website may provide links to other websites. The holistic Hut has no control over such websites and is no way responsible for the content thereof. This policy does not extend to your use of such websites. Users are advised to read the privacy policy or statement of other websites prior to using them.
